Managing tasks
- About managing tasks
You can manage tasks in several ways—for example, create new tasks, assign tasks to users, set the task status, edit an existing task, and send reminders.
- Creating a task
Create a task for elements in a project and assign the task to users who need to review or approve the elements.
- Creating a task from a task template
- About auto tasks
An auto task is a task to which all elements are automatically added when they are uploaded to a project. Auto tasks are useful when you have many elements to upload to the project at different times and you want the same users to review all of the elements.
- Creating an auto task
Create an auto task so that any elements uploaded to the project are automatically added to the same task.
- Deleting a task
You can delete a task when it is no longer needed.
- Adding elements to a task
You can add elements to a task when you want one or more elements to be reviewed or approved by the same users who are already assigned an existing task. You do not have to create a new task for the element.
- Adding task elements from an existing task to another task as reference element
You can add existing task elements to a different task as a reference task element.
- Removing elements from a task
You can remove an element from a task when the element is no longer needed, but you still want the assigned users to review other elements in the task.
- Editing a task
You can change a task's name, due date, and description, turn password authentication on or off, and add and remove users in the task.
- Creating a task template
Task templates can be created while creating a new task or editing an existing task. Task templates can also be created independently of the task creation or editing. Task templates are defined and saved at the customer level, group level, or project level and must be uniquely named.
- Editing a task template
You can edit all the attributes of a task template, including the name, due date, and description, turn password authentication on or off, and add and remove users and user groups in the task. Editing a task template does not affect any tasks created from the task template.
- Copying and moving a task template
- Deleting a task template
You can delete a task template when it is no longer needed. Deleting a task template will not affect any tasks that have been created from it.
- About task reminders
You can set manual and automatic task reminders for the review and approval of tasks.
- Sending a task reminder
You can send a reminder e-mail message to a user who is assigned a task but has not set the task status.
- Managing automatic task reminders
You can set up, at the customer level, automatic task reminders for approval, review, and mixed task types.
- Making a task inactive
You can remove a task from the list of active tasks so that no further changes can be made to its task status.
- Reactivating an inactive task
You can reactivate a task that you previously made inactive.
- Viewing the number of annotations associated with a task
You can view the number of annotations that have been added in Smart Review to the elements associated with a specific task. You can also view how many annotations have been added to each element.
- Viewing review and approval comments
You can view any comments that a user associated with the task status when the user set the status for a review or approval task in the Elements view, Tasks view, or Smart Review.
- Filtering tasks
You can filter tasks so that you only see tasks with a certain status—for example, tasks that have been inactivated.
